2. Personal data we collect

Depending on how you interact with us, we may collect your name, professional email address, institution or organisation, country, professional role if provided, message or enquiry content, records of communications, marketing preferences and technical information such as IP address, browser information and website usage data where applicable. Please do not submit patient data or other sensitive clinical information through the contact form.

3. How we use your data

Enquiries and related business communications

We use contact details and enquiry information to respond to requests, provide information about QUICKprep and other FASTINOV products, arrange meetings or demonstrations, prepare proposals, follow up on the enquiry, and maintain records of the resulting professional or commercial relationship. Enquiry data may be stored in FASTINOV's CRM.

The legal basis is FASTINOV's legitimate interest in responding to professional enquiries and managing business relationships or, where applicable, taking steps requested before entering into a contract.

Marketing communications

We use contact details for general news or marketing communications only where you have separately and voluntarily opted in. Marketing consent is recorded separately from the enquiry, together with the consent timestamp and source. Submitting the contact form does not constitute consent to unrelated marketing communications. You can withdraw consent at any time by unsubscribing or contacting us.

Website operation and security

We may process limited technical data to operate and secure the website, prevent abuse, diagnose technical problems, and maintain appropriate security records. The legal basis is our legitimate interest in operating a secure and reliable website and, where required, compliance with legal obligations.

Analytics

4. Legal bases

5. Retention

We keep personal data only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, regulatory, accounting or dispute-resolution requirements.

As a general rule, enquiry records that do not lead to an ongoing relationship are reviewed for deletion or anonymisation after 24 months. Records connected with an active customer, distributor, partner or commercial relationship may be retained for the duration of that relationship and an appropriate period afterwards. Marketing-consent records are retained until withdrawal or for as long as needed to demonstrate consent and manage unsubscribes. Technical and security records are retained only for the limited period needed for their security purpose.

Personal data may be accessed by authorised FASTINOV personnel and service providers acting on FASTINOV's behalf, including providers of website hosting, email delivery, CRM storage, analytics, cloud infrastructure, IT and security services. FASTINOV requires processors to provide appropriate contractual and security safeguards. We do not sell personal data.

7. International transfers

Some service providers may process or store data outside the European Economic Area. Where this occurs, FASTINOV will use an appropriate GDPR transfer mechanism, such as an adequacy decision, Standard Contractual Clauses or another lawful safeguard. 8. Your rights

Subject to the conditions in the GDPR, you may request access to your personal data, rectification of inaccurate data, erasure, restriction of processing, or object to processing based on legitimate interests. Access to enquiry and consent data is limited to authorised people and service providers who require it for legitimate business purposes. The contact form is intended to be submitted over HTTPS.
